Privacy Policy

1. Who we are

This Privacy Policy is issued by LUMIS HR Solutions LLC, the developer and operator of LUMIS HR and the legal service provider for the Service.

2. Information we collect

Account details (name, email, role), authentication data (hashed passwords or Google sign-in identifiers), documents you upload or import, chat questions and AI responses, response feedback you submit, saved highlights, form submissions, onboarding checklists, and KPI data you enter.

3. How we use it

To operate the Service: authenticate you, index documents so the assistant can cite them, generate responses, store your highlights and submissions, review response feedback for quality and safety, and produce analytics. Chat content is sent to our AI model provider solely to generate a response and is not used to train models.

4. Sensitive data

Do not upload medical records, protected health information, Social Security numbers, or other highly sensitive personal data. Benefits and medical information should be kept in your organization's segregated confidential files per HIPAA and the ADA.

5. Sharing

We do not sell personal data. We share data only with infrastructure, email-delivery, and AI processing providers under contract, or when required by law. Data belonging to one organization is never shown to another organization.

6. Retention and deletion

Data is retained while your account is active and according to the retention policy configured by your HR manager. You may delete highlights, form submissions, and KPI entries at any time and may request full account deletion.

7. Security

Passwords are hashed with bcrypt; sessions use signed tokens; access is role-based. No system is perfectly secure — report concerns to your LUMIS HR administrator.
